Internship Terms of reference (TOR)
Background
We Effect was founded in 1958 to support the development of democratic organizations and societies that have the capacity to articulate the rights and needs of their members in respect of work, influence, services, incomes, and livelihoods.
We Effect works in more than 20 countries in Asia, Eastern Europe, Latin America, and Africa through our regional offices in partnership with local CSO, farmer organizations, cooperative federations, and other democratic organizations.
We Effect applies a human rights-based approach in its international development cooperation programs, assisting people living in poverty to secure their rights and entitlement to adequate living conditions and broad empowerment.
Objective
The volunteer will provide finance and administrative support to the We Effect Uganda Country Office in the following areas:
Administrative Support
Policy and procedures
- Assist in implementing administrative policies and procedures.
- Support in the development of internal processes and procedures.
Assets / inventory management
- Support in conducting Inventory stock taking and Verification of assets at the Office and updating the asset register.
Procurement
- Support in Procurement of various services and Goods for the Office and Programs.
- Visit some service providers and ensure they meet the required standards of service.
- Aid in supervision of service providers when executing their Services Onsight.
- Follow up on Receipts from various services providers who have been paid.
Logistics
- Conduct office required deliveries to various places and offices as requested.
- Support in preparation of meeting venues and when Trainings are going on.
- Support in the process of acquiring a new post office Box number and Communication line for the country Office.
- Assist in processing travel requests and reimbursement claims.
Finance Support
- CROPS UPDATING: Ensure that financial documents are updated in crops verifying this for each partner. That is, budgets, requisitions, financial monitoring tools. Financial reports and are signed by each respective Officer. (this is done but they can do the verification)
- Support in preparation of Payment vouchers and petty cash Vouchers as aided by the Finance Officer.
- VOUCHER updates, review all vouchers to ensure they have the necessary supporting documents and are stamped.
Documentation Support
- Support in filling and Scanning documents, invoices, vouchers and various partner documents like reports, agreements, among others.
Other Support
- Any other support that may be required by the Finance and administration officer.
Working arrangements
- 40-hour week with a hybrid working arrangement.
- The volunteer will report and work closely with the Finance and Administration Officer.
- The volunteer to arrange for own medical insurance and be eligible to work in country of assignment.
- There is no expectation of employment at the end of the volunteer’s service.
- The Terms of Reference may be subject to change based on organizational requirements and priorities.

Qualifications
Interested applicants with the following qualifications will be considered:
Education
- Degree in any of the following disciplines: Accounting, Finance, Economics, Commerce, Procurement, Business Management, Human Resource, or a related qualification from a recognized institution.
- Professional Certification (CPA or ACCA) or partial Level.
Work experience
- A minimum of two years of working experience in a finance related field or business administration / management.
IT Skills
- Proficiency in the use of computer and related accessories and comfortable working With MS Office, word, and Excel.
Language, Skills, and Competencies
- Fluent in English
- Attention to detail.
- Time keeping.
- Effective communication (both written and oral).
- Ethics and integrity.
- Multi-tasking.
